Mobile Device Management, and Microsoft Exchange

MDM and MS Exchange: Companies can choose from many Mobile Device Management software options to help them deploy tablets, smartphones, or laptops to employees. You must integrate your Microsoft Exchange Server in order to distribute Android and iOS devices.

Microsoft Exchange allows companies to utilise the features of the Microsoft application suite to empower their employees.

Microsoft Exchange is a simple email and document-oriented approach to creating shared business areas for remote employees and those who work off-site. However, Microsoft Exchange does not provide the same level of device control as dedicated Mobile Device Management software. It is best to combine both.

Many small businesses will find the file sharing and remote access email access provided by MS Exchange Online or Exchange Online sufficient.

Businesses will choose the Microsoft 365 Business Standard package for a better MDM experience.

MS Exchange and MDM: What’s the difference?

External access to mobile devices within the company is required for security purposes.

Microsoft Exchange, ActiveSync and the company’s mobile devices management system all work together to achieve this. What does this actually mean? Let’s look closer at this complicated concept: Exchange ActiveSync connects mobile devices to the Exchange server.

The Exchange server stores, among other things, employee emails, tasks, and calendars via each email account. These data can be accessed via ActiveSync or via IMAP, as well as via POP. MDM software from the company docks to this and, based upon these accesses, allows device distribution within COPE (corporate owned, personally enabled) or COBO(corporate-owned business only) allocation models.

Microsoft Exchange: Online or on-Premise?

Many companies have Exchange as an option. There are two options available: an on-premise Exchange server, or an “Exchange Online”.

Exchange Online isn’t necessary for businesses that only require on-premises device management. Instead, devices can be connected directly to Exchange Server and managed through the Configuration Manager console.

Although Exchange Online does not give employees complete control of their company-issued devices, it provides a secure path to the Exchange Server. From there, company documents, emails, and shared spaces are accessible.

Exchange Online offers:

  • 100 GB mailbox per user
  • Archive mailbox for 1.5 TB
  • Hosted voicemail
  • Data loss prevention
  • Outlook for the web
  • Compare employee calendars for scheduling appointments
  • Contacts, groups, and share address books. Delegation channels.

Microsoft 365 Business Standard includes Exchange Online, which offers a wider range of features and applications to help employees connect and be more productive.

Microsoft 365 Business Standard comes with:

  • All Exchange Online features
  • Standard Microsoft Office desktop and mobile apps with full Microsoft Office
  • Custom email address
  • Video Conferencing for up to 250 Participants
  • Access to Exchange, OneDrive and SharePoint.
  • Each user can have up to five devices types covered by a licence
  • Chat-based workspaces for teams
  • Microsoft Bookings allows customers to book in with their employees
  • Microsoft Planner allows you to coordinate projects and manage teams.
  • Fast-track deployment support
  • Licences up to 300 users

Exchange ActiveSync

Exchange ActiveSync allows mobile devices to access company information even if they are offline. This tool can be used by any employee or manager who has an Exchange mailbox. IT heads, however, have the power to limit access to specific users and device types.

ActiveSync features include:

  • Access to email and conversation history quickly
  • SMS and email syncing
  • Task synchronisation and meeting management
  • Push notifications, auto replies, and reply status viewing
  • Customisable password policies and PIN resets
  • Standard encryption for storage cards and devices, plus SSL encryption

Remote wipe of Exchange MDM

ActiveSync provides a remote wipe option for businesses that are concerned about data security. To erase all data on a device that has been lost, stolen or compromised, the Exchange Server and the Outlook Web App can issue a command.

What mobile devices can you use with Exchange MDM

Exchange and ActiveSync are available on all types of devices, including Android and Apple. It integrates seamlessly with other operating systems because it uses familiar, universal Microsoft applications. It is an option for device fleets made up of different hardware and operating systems.

Integration of Exchange and MDM in your company’s devices

You will need the Exchange Server connector to manage devices and connect them directly to your Exchange Server via ActiveSync. Remote devices can communicate with the server, and then integrate into the Configuration Manager console. The Exchange Server connector connects to the Configuration Manager and Exchange Server for devices on-premise that are part of the company’s existing local network.

The Configuration Manager console allows you to manage security, devices, and applications. Here security policies can be created and rolled out. Remote devices can also be granted access to the console.

To connect to Microsoft Exchange from a mobile device, employees will only need their login details.

MDM software is highly recommended by us for security and use reasons. The MDM can “dock” onto an Exchange server using ActiveSync to obtain basic Exchange data like e-mail access and calendar sync. This data is not stored by the MDM, but it can be accessed.

MDMs can handle both iOS and Android devices.

The Android Enterprise MDM software system is only available for Android devices. It provides full operating system integration on all devices and a central hub to monitor and secure the device. Apple MDM software is available as well, such as Jamf.

Samsung Knox MDM is a security feature that is specifically designed for Samsung devices. It is best used with Samsung Galaxy Enterprise Edition phones. Knox security features are superior to those provided by Android Enterprise and offer extended administration and security.

Summary: Exchange and MDM Software

Microsoft Exchange and MDM are a great combination for any company that has work phones.

You can choose between Android and iOS, or let your employees choose which operating system they prefer (“Choose Your Own Device”) everphone allows you to set up company cell phones using Exchange ActiveSync and suitable Mobile Device Management. Find out more about MDM in our whitepaper.
